Working Together to Create a Successful Event
Every successful leader is part of a network or networks. It was said of the great reformer William Wilberforce that he demonstrated that “a man can change his times, but he cannot do it alone.”
If you are interested in hosting a Trinity Forum event for one of your networks, we encourage you to tailor it to best match our materials and experience with the specific needs of your audience. The U.S. Trinity Forum staff will be happy to assist you in any way.
Trinity Forum Services Available
- Work with you to select topics, readings, and speakers or moderators.
- Provide such items as suggested schedules and templates for name tags.
- For a nominal fee we can help with venue research and selection, invitation production and mailing, resource material distribution/coordination, and even on-site event coordination.
A list of services and related fees is available upon request.
Host Responsibilities
- Determine the scope of your event, including target audience, topic, duration, format (discussion or lecture), and preferred speaker or moderator(s).
- Invite and assemble guests. We recommend a group size of 20 to 30 people for a discussion-focused event, or small-group break-outs for discussion at events with a larger attendance. Speaker-focused events are, of course, more flexible.
- Confirm date and program specifics with TTF staff, who will confirm speaker/moderator availability.
- Secure an appropriate venue and catering.
- Determine what print, audio, and video materials will be required for discussion, background reading, and supplements.
- Determine whether your guests should receive materials ahead of the event or whether materials will await their arrival.
- Decide who will manage other event-related details, including RSVPs, name tags, ordering and mailing of resources, and other logistics.
- Underwrite all expenses for your event.
Estimating Costs
The costs associated with an event will include speaker or moderator honorarium and travel expenses, Readings or curriculum (if appropriate), TTF staff support (if desired), venue rental (if necessary), and food and beverage.
In the past, some people have gathered co-hosts who help underwrite the event. You might also wish to structure event fees into your program.
